Small Business Technology Support Tip: Managing Your Email in Outlook Better

We all know and love email, and some of us might even be used to checking it every single day. While we all spend a ton of time on it, Microsoft Outlook actually has some features that can help you cut this time down, so you don’t have to spend so much time managing your email. Here are a few of our favorite Microsoft Outlook tricks.

Tip #1 – Use Block Sender

Spam mail is not only annoying, but it can also be really dangerous. Reducing spam is really important, but it can seem like there’s no way to completely eliminate it. Outlook on the other hand, has a built in spam filter that works really well, but a little manual action can make it do even better.

Use the block sender feature so specific sender’s emails can be sent straight to your junk folder moving forward. When you get a spam email just right click it and click the “block sender” option.

Tip #2 – Create Rules

Outlook makes it possible for you to create rules within your inbox. They are also really adaptable and flexible, so you can do just about anything with them. So, seriously take some time to look at all of the options.

Here’s a simple example: If you’re working on a project and you want all of the related emails to be put into one folder, Outlook can do that for you. Instead of hunting them down in your inbox, they can be put straight into that folder automatically.

To do this, select the email you want to move and select Home, then Rules, then Create Rule. Now, all of these emails will be put into that folder. Set the conditions so the email you want will meet those.
